Digital Transformation in Higher Education: Enhancing Processes with Capabilities Mapping and Automation

Abstract:

The study focuses on the need to take steps towards the digital transformation of the financial area of the Universidad Técnica Particular de Loja (UTPL), where traditional methods are inefficient. The main objective is to develop and implement an automated system that improves efficiency and transparency in financial administration. The methodology employed includes the analysis of existing business processes, using business capability maps as an analysis mechanism, and the design of a technological solution based on process-based management (BPM) with BPMN notation, using Bizagi to model and automate workflows. In addition, a document repository in Alfresco (ECM) is integrated to centralize document management. This integration facilitates digital transformation by aligning processes, applications and data in a coherent system. The results show an improvement in the management of queries and the recording of financial processes, with an efficient document repository. In conclusion, the implementation of a process management and control system, based on BPMN and ECM, optimizes workflows, improves efficiency in information management and contributes to better customer service in the financial area processes, demonstrating the value of digital transformation in this sector.
